How it works

Waitlist management from the first signup on.

  1. They sign up anywhere

Signups from your Launch page, an embedded form, the API and imports all fill the same list. Someone who signs up twice stays one person, with both signups on their record.
  2. Their story comes with them

Where they came from, the page they landed on, their country and device, their answers and the friends they brought in are kept on their record.
  3. You narrow it down and act

Pick a segment, a stage or a filter, then tag people, move them along, invite, export or unsubscribe them. Act on a few rows or on everyone who matches.
One record

Waitlist segments built from what each record knows.

Click any row on Signups and that person's record opens beside the list.

  • Trust

Each signup carries a trust verdict on their record and in a Trust column you can switch on: Verified, Valid, Unknown, Risky and Fake. Signups the spam checks hold wait apart, out of your counts until you approve them.

  • Answers

Whatever your form asked, like their role, stays on their record. Show it as a column or filter the list by it.

  • Referrals

Every friend someone brings in is credited to them, and the Rewards section of Referrals & rewards shows who is one referral from their next reward.

  • Segments

Combine rules like country, referral count or a form answer, save them as a segment, and it keeps itself up to date as people join, refer and move. Send a broadcast to it or export it.

    From the Launch plan
  • Pipeline

See how many people are waiting, invited, joined and converted, then click a stage to see exactly who is in it.

When to use it

Waitlist management for the day a spreadsheet stops keeping up.

A good fit when

  • Signups reach you from your Launch page, a form on your site and a list you brought from another tool, and you want them side by side.
  • You plan to let people in by groups, like your top referrers or one country, and want to find each group in a click.
  • People sign up twice, and you want one row per person instead of a cleanup job before every send.
  • You want to see who brought in whom before you decide who gets in first.

Not the right fit when

  • You need a sales CRM with deals and revenue. This list is for people waiting to get in.
  • You need to look people up by company or by an answer. Search reads names and the details people joined with; filter by an answer instead.
The details

What keeps the list tidy as it grows.

  • Any identity, not just email

Email, phone, username, wallet address or a value of your own: people are matched on whichever field your form identifies them by. A phone-only signup is a full contact.
  • A funnel in your own words

Rename, reorder or add to Waitlist, Invited, Joined and Converted. Invites and automations keep working, because they follow what a stage does, not what it is called.
  • Tags for everything else

Tag a selection in one go, then filter by the tag. A tag holds exactly the people you gave it to, and a saved segment can be built on it from the Launch plan.
  • A CSV whenever you want it

Export the view you are looking at, everyone, or just the people you selected, with the columns you pick.On every plan
  • Where each invite stands

Filter by an invite apart from the stage: "Waiting", "Got in", "Never arrived", "Expired", "Revoked" or "Never invited". Then tag or export the people whose invite never arrived.
  • Personal data, handled

Remove anyone, and erase their personal data with them when they ask. In workspace settings, "Anonymize visitor IP addresses" keeps only a rough country and "Delete dormant signups automatically" clears out people who went quiet. Both start off.

In the docs: building a segment, renaming your stages and keeping fake signups out.

FAQ

Waitlist management questions.

What happens when someone signs up twice for a LaunchList waitlist?
They stay one contact. People are matched on their identity within each project, so a second signup is added to the record they already have instead of creating a duplicate.
Do several LaunchList forms share one audience?
Yes. All the forms in one project fill the same audience, so someone who joins the waitlist and later answers a survey is one person with both sets of answers.
Do held or test signups count toward my LaunchList plan?
No. Signups held for review stay out of your counts and your bill until you approve them, and test signups never count.
What happens when my waitlist reaches its contact limit?
New signups are still saved. Contacts past your size are kept but hidden until you move up a size, and nothing is deleted. The size counts every project in your workspace you have not archived, you hear about it as you get close, and your subscription never goes up without your approval.
What can I search my LaunchList waitlist by?
A name, or the email address, phone number or username someone joined with. To find people by country or by one of their form answers, use a filter instead.
Is waitlist management included on the Free plan?
Yes. The Free plan has the list, every contact record, tags, stages, the built-in segments and CSV export, up to 100 contacts. Saving segments from your own rules comes with the Launch and Grow plans.
